Family Office Associate

We are currently seeking a highly organized self-starter to join our growing team as a Family Office Associate. The successful candidate will report to the firm’s Director of Family Office Services and will work with our clients in the areas of financial administration, cashflow management, financial reporting, accounting and tax compliance support. The Family Office Associate will also collaborate with Prime Quadrant’s Consulting, Operations and Compliance teams in this role.

Qualifications

Required Qualifications

  • University degree or college diploma
  • 3+ years of related work experience
  • Strong Microsoft Office fluency (Excel, Word, OneNote, Teams)
  • Experience working with accounting software packages (e.g. Sage50, QuickBooks)
  • A strong understanding of financial and tax reporting, including financial statements and corporate/personal tax returns
  • Excellent verbal and written communication skills, with high fluency in English

Prioritized Qualifications

  • Experience with various forms of legal entities, including corporations, trusts and partnerships
  • Previous client service experience with Ultra High Net Worth and/or Institutional Investors

Primary Responsibilities

Financial Administration

  • Obtain and interpret third party statements and legal documents to support bookkeeping requirements
  • Complete account opening, credit and insurance applications
  • Coordinate vendor payments and Canada Revenue Agency remittances

Cash Flow Management and Reporting

  • Prepare account reconciliations and pro forma cash flow estimates
  • Coordinate cash transfers and investment funding requirements with private bankers
  • Review outsourced bookkeeping to ensure the accuracy of transactions and reconciliation of inter-entity accounts
  • Track accounting and tax cost basis for personal, capital and investment assets

Compliance Support

  • Prepare and compile tax documents and schedules to support the preparation of annual financial statements and tax returns
  • Review and reconcile tax slips for taxpayers (e.g. personal, corporations, foundations)
  • Support accounting and tax advisors, responding to inquiries and reviewing draft deliverables
  • Provide support for Canada Revenue Agency audit and assessment reviews
