Manager of Access Fund Operations

We are currently seeking a highly organized self-starter to join our growing team as our Manager of Access Fund Operations. In this role, the successful candidate will report to the Firm’s Operations Manager and oversee the day to day operations of the Firm’s pooled fund vehicles (“Access Funds”), with particular focus on the oversight of the Access Funds’ service providers as well as coordination of Access Fund operations internally. The Manager of Access Fund Operations will also work closely with the Firm’s Operations, Investment, Accounting and Compliance teams with respect to its ongoing management of the Firm’s Access Funds.

Primary Responsibilities

Shareholder Record Keeping:

• Liaise with the Company’s internal consulting teams with respect to client subscriptions
• Record and track shareholders’ Access Funds related activities in the Company’s portfolio reporting system
• Reconcile the Company’s internal shareholder records with the external Fund Administrator
• Review shareholder capital statements from the external Fund Administrator

Fund Accounting:

• Review and approve the Net Asset Values (NAVs) received from the Fund Administrator
• Resolve fund accounting questions with the Fund Administrator

Capital Calls & Distributions:

• Oversee all capital calls and distributions for the Access funds
• Prepare client capital call and distribution notices
• Process capital call wires to the Access Funds’ underlying investments
• Track and reconcile cash holdings in the Access Fund bank accounts
• Record all capital call and distribution activities in the Firm’s portfolio reporting system

Access Fund Investments:

• Pre-fill and review all underlying investment subscription agreements
• Prepare AML/KYC documents as requested by underlying investment fund managers
• Submit trades for underlying investment subscriptions and redemptions according to allocation instructions from the Investment Team

Audit & Tax:

• Act as the primary liaison with the Access Funds’ accounting firm
• Guide and review the semi-annual and annual Access Funds financial statements preparation and distribution
• Prepare and guide the audit preparation with the Access Funds’ Canadian accounting firm
• Liaise with the Access Funds’ Canadian and US tax accounting firms on CAD & US tax filings, FATCA, and other reporting requirements
• Prepare and guide the Access Funds’ tax and GST/HST returns each year
• Prepare and manage the distribution of annual tax forms as needed
• Assist with providing on-time reporting to regulatory bodies including CRA and OSC

Internal Controls:

• Support the Corporate Controller with developing accounting and financial policies and procedures and internal controls for the Access Funds
• Support the Operations Manager, Associate Director of IT, and Chief Operating Officer to continually look for ways to automate processes and streamline operating procedures for the Access Funds

Qualifications

• Post-Secondary education in Accounting/Finance/Economics or comparable, combined with education and work experience
• Completion of CSC, CPH, EMP and/or IFIC Operations course
• 3-5 years experience with fund accounting, performance reporting, financial statements, audit, and tax filings in an asset management or fund administration firm
• Previous experience with private fund capital calls and distributions
• Proficiency in Microsoft Excel, including a broad range of advanced formulas and functions
